Terms & Conditions

1. Acceptance of Terms

By creating an account, accessing, or using RoomieExpense ('the Service'), you agree to be bound by these Terms & Conditions ('Terms'). If you do not agree to all the terms, you may not access or use the Service.

These Terms constitute a legally binding agreement between you and RoomieExpense. By clicking 'I Accept' during account creation or by continuing to use the Service, you acknowledge that you have read, understood, and agree to be bound by these Terms and our Privacy Policy.

2. Description of Service

RoomieExpense is a comprehensive expense tracking and management platform designed for shared living arrangements. The Service includes:

CORE FEATURES:
• User account creation and management
• Multi-apartment support and management
• Expense creation, tracking, and categorization
• Payment recording and split calculations
• User share management and expense splitting
• Real-time data synchronization across devices

COMMUNICATION FEATURES:
• Push notifications via Firebase Cloud Messaging
• Apartment invitations and join codes
• Deep linking support for easy sharing
• Payment reminders and expense updates

DATA FEATURES:
• Data export in CSV, Excel, and PDF formats
• Historical expense and payment tracking
• Profile customization (name, phone, picture)
• Multi-language support

MONETIZATION:
• Advertisement display via Google AdMob (banner, native, interstitial)
• Optional subscription to remove advertisements
• Analytics tracking via Firebase Analytics

The Service may be updated, modified, or discontinued at any time without prior notice.

3. User Accounts & Eligibility

ELIGIBILITY:
• You must be at least 18 years old to use RoomieExpense
• You must provide accurate and complete registration information
• You must be legally capable of entering into binding contracts

ACCOUNT SECURITY:
You are responsible for:
• Maintaining the confidentiality of your password and account credentials
• All activities that occur under your account
• Immediately notifying us of any unauthorized access or security breach
• Ensuring your email address and contact information remain current

ACCOUNT CREDENTIALS:
• You may not share your account with others
• You may not create multiple accounts for fraudulent purposes
• You may use biometric authentication as an optional security feature

PASSWORD MANAGEMENT:
• You can change your password at any time in Settings
• Password reset is available via email verification
• We will never ask for your password via email or phone

4. User Conduct & Prohibited Activities

You agree NOT to:

ILLEGAL ACTIVITIES:
• Use the Service for any unlawful purpose or illegal activity
• Violate any local, state, national, or international law
• Engage in fraud, money laundering, or financial crimes

SECURITY VIOLATIONS:
• Attempt to gain unauthorized access to our systems, servers, or networks
• Circumvent security measures or authentication mechanisms
• Probe, scan, or test vulnerabilities of the Service
• Interfere with or disrupt the Service or servers

HARMFUL CONTENT:
• Upload viruses, malware, or malicious code
• Transmit spam, junk mail, or unsolicited communications
• Post false, misleading, or fraudulent expense information

ABUSE & HARASSMENT:
• Impersonate another person, user, or entity
• Harass, threaten, or harm other users
• Use offensive, abusive, or inappropriate language in expense descriptions

MISUSE OF SERVICE:
• Reverse engineer, decompile, or disassemble the app
• Create automated scripts or bots to interact with the Service
• Use the Service for commercial purposes without permission
• Collect or harvest user data without consent

Violation of these terms may result in immediate account suspension or termination.

5. Expense & Payment Data

DATA ACCURACY:
• You are solely responsible for the accuracy of all expense and payment data you enter
• You must ensure expense amounts, dates, and descriptions are correct
• You should verify payment information before recording

DATA SHARING WITHIN APARTMENTS:
• All expense and payment information is visible to other apartment members
• Your name and profile picture are shared with apartment members
• Payment status and amounts are accessible to all apartment members
• You consent to this sharing when you join or create an apartment

FINANCIAL DISPUTES:
• RoomieExpense is a tracking tool only and does not process actual payments
• We are not liable for any financial disputes between apartment members
• You are responsible for resolving payment disagreements independently
• We do not verify the accuracy of expense splits or payment records

EXPORT & RECORDS:
• You can export your expense data at any time in CSV, Excel, or PDF format
• Exported data should be verified independently for tax or legal purposes
• We recommend maintaining your own financial records

6. Apartment Management

CREATING APARTMENTS:
• Any user can create new apartments
• The creator becomes the initial admin with special privileges
• Apartment names must be appropriate and non-offensive

JOINING APARTMENTS:
• You can join apartments via invitation codes or deep links
• Joining requires acceptance by the apartment admin
• You consent to sharing your data with apartment members upon joining

ADMIN RESPONSIBILITIES:
Admins have the authority to:
• Accept or reject join requests
• Manage apartment settings and information
• Delete the entire apartment (with all associated data)
• Remove members if necessary

LEAVING APARTMENTS:
• You can leave any apartment at any time
• Leaving does not delete your historical expense contributions
• You may be re-invited to apartments you previously left

APARTMENT DELETION:
• Only admins can delete apartments
• Deletion removes all apartment data permanently
• All members are notified when an apartment is deleted

7. Push Notifications

NOTIFICATION DELIVERY:
• We use Firebase Cloud Messaging (FCM) to deliver push notifications
• Notifications require device permissions to be granted
• We are not responsible for delayed or undelivered notifications due to network issues

NOTIFICATION TYPES:
You may receive notifications for:
• Payment reminders and overdue payments
• New expense creation and expense updates
• Apartment join requests and membership changes
• Member activity (joins, leaves)
• Monthly summaries and expense reports

NOTIFICATION PREFERENCES:
• You can control notification settings for 5 categories independently
• Changes to preferences are synced across all your devices
• You can disable notifications entirely in device settings

LIMITATIONS:
• Disabling notifications may affect your ability to stay updated on apartment activity
• We are not liable for missed payments or expenses due to disabled notifications

8. Advertising & Monetization

ADVERTISEMENTS:
• RoomieExpense displays advertisements via Google AdMob
• Ads appear as banner, native, and interstitial formats
• Ad display is subject to availability and third-party policies

AD CONTENT:
• We do not control the content of third-party advertisements
• Ads may be personalized based on your interests and usage
• We are not responsible for the accuracy or content of ads
• Clicking ads may redirect you to external websites

AD LIMITATIONS:
• Interstitial ads have cooldown periods (60 seconds between displays)
• Maximum 3 interstitial ads per session
• Ads are displayed with probability-based logic (not every action triggers an ad)

REMOVE ADS SUBSCRIPTION:
• You can subscribe to 'Remove Ads' to eliminate all advertisements
• Subscription is monthly and auto-renewable
• Billing is handled securely through Google Play Billing
• You can cancel anytime via Google Play Store
• Refunds follow Google Play's refund policy
• Subscription benefits apply immediately upon purchase

SUBSCRIPTION TERMS:
• Subscription renews automatically unless cancelled
• Price may change with 30 days notice
• Cancellation takes effect at the end of the current billing period
• No partial refunds for unused subscription time

9. Analytics & Data Collection

ANALYTICS TRACKING:
• We use Firebase Analytics to track app usage and improve the Service
• Analytics include screen views, feature interactions, and user behavior
• Over 60 custom events are tracked for product improvement

DATA COLLECTED FOR ANALYTICS:
• User properties: account type, language preference, theme preference
• Navigation patterns and screen views
• Feature usage and engagement metrics
• Error events and crash reports
• Ad interaction data (impressions, clicks)

PURPOSE OF ANALYTICS:
• Improve app performance and user experience
• Identify and fix bugs and technical issues
• Develop new features based on usage patterns
• Measure feature adoption and engagement

OPT-OUT:
• Analytics data is aggregated and anonymized
• You can limit analytics in device settings
• Refer to our Privacy Policy for more details on data collection

10. Intellectual Property

OWNERSHIP:
All content, features, functionality, software, and design of RoomieExpense are owned by us and are protected by:
• International copyright laws
• Trademark laws
• Patent laws
• Other intellectual property rights

YOUR RIGHTS:
• You retain ownership of your expense and payment data
• You grant us a license to use your data to provide the Service
• You can export or delete your data at any time

RESTRICTIONS:
You may NOT:
• Copy, modify, or distribute the app or its content
• Reverse engineer or decompile the software
• Remove copyright or proprietary notices
• Use RoomieExpense name, logo, or trademarks without permission
• Create derivative works based on the Service

TRADEMARKS:
• 'RoomieExpense' and associated logos are our trademarks
• You may not use our trademarks without prior written consent

11. Third-Party Services

We integrate the following third-party services:

FIREBASE (Google):
• Firebase Analytics for usage tracking
• Firebase Cloud Messaging for push notifications
• Firebase Remote Config for feature flags
• Subject to Google's Terms of Service and Privacy Policy

GOOGLE ADMOB:
• Displays advertisements in the app
• Collects advertising ID and ad interaction data
• Subject to Google AdMob policies

GOOGLE PLAY BILLING:
• Processes subscription payments securely
• Manages subscription renewals and cancellations
• Subject to Google Play's Terms of Service

THIRD-PARTY TERMS:
• Your use of third-party services is subject to their own terms
• We are not responsible for third-party service failures
• Changes to third-party services may affect the Service

12. Service Availability & Modifications

SERVICE AVAILABILITY:
We strive to provide reliable service but do NOT guarantee:
• 24/7 uninterrupted or error-free operation
• Compatibility with all devices or operating systems
• Availability of all features at all times
• Freedom from bugs, viruses, or technical issues

MAINTENANCE & DOWNTIME:
• The Service may be unavailable during maintenance
• We will attempt to provide notice of scheduled maintenance
• Emergency maintenance may occur without notice

SERVICE MODIFICATIONS:
We reserve the right to:
• Modify, suspend, or discontinue any feature at any time
• Update the app with new versions and requirements
• Change pricing for subscriptions with 30 days notice
• Alter the Service's functionality or appearance

DATA BACKUP:
• We maintain regular backups but do not guarantee data recovery
• You are responsible for maintaining your own backups via export feature
• Use the CSV, Excel, or PDF export to save your data locally

13. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW:

WE ARE NOT LIABLE FOR:
• Any indirect, incidental, special, consequential, or punitive damages
• Lost profits, revenue, data, or business opportunities
• Financial disputes between apartment members
• Inaccurate expense or payment data entered by users
• Unauthorized access to your account due to password compromise
• Service interruptions or data loss
• Third-party service failures (Firebase, AdMob, Google Play)
• Damages arising from advertisements or third-party content

MAXIMUM LIABILITY:
• Our total liability shall not exceed the amount you paid for the Service in the past 12 months
• For free users, our liability is limited to $100 USD or the minimum required by law

EXCLUSIONS:
Some jurisdictions do not allow limitations on liability. In such cases, our liability is limited to the maximum extent permitted by law.

14. Indemnification

You agree to indemnify, defend, and hold harmless RoomieExpense, its officers, directors, employees, and agents from any claims, liabilities, damages, losses, costs, or expenses (including attorney fees) arising from:

• Your violation of these Terms
• Your use or misuse of the Service
• Your violation of any rights of another party
• Inaccurate expense or payment data you provide
• Financial disputes with apartment members
• Unauthorized access to your account due to password compromise
• Any illegal or prohibited activities conducted through your account

This indemnification obligation survives termination of these Terms and your use of the Service.

15. Account Termination

TERMINATION BY YOU:
• You may delete your account at any time through Settings
• Account deletion requires password confirmation
• All your personal data will be deleted within 30 days
• Shared expense data in apartments may be retained for other members

TERMINATION BY US:
We may suspend or terminate your account if you:
• Violate these Terms or our Privacy Policy
• Engage in fraudulent or illegal activities
• Abuse the Service or harm other users
• Fail to respond to security concerns
• Create multiple accounts for fraudulent purposes

EFFECTS OF TERMINATION:
Upon termination:
• Your access to the Service is immediately revoked
• Your personal data is deleted within 30 days
• Shared apartment data remains accessible to other members
• You lose access to any subscription benefits
• No refunds are provided for unused subscription time

SURVIVAL:
The following sections survive termination: Intellectual Property, Limitation of Liability, Indemnification, Governing Law, and Dispute Resolution.

16. Data Export & Portability

DATA EXPORT FEATURE:
• You can export all your expense and payment data at any time
• Export formats available: CSV, Excel (XLSX), PDF
• Export includes:
- All expense records with dates, amounts, and descriptions
- Payment history with payer/payee information
- Summary statistics and totals
- Per-apartment breakdowns

EXPORT PROCESS:
• Select date range and apartment filter
• Choose export format
• File is generated on your device
• Background processing for large datasets

LIMITATIONS:
• Export files are generated client-side
• Large datasets may take time to process
• Exported data accuracy depends on user-entered information
• We recommend verifying exported data for official use

17. Changes to Terms

MODIFICATIONS:
• We may update these Terms at any time
• Material changes will be communicated via:
- In-app notification
- Email to your registered address
- Updated 'Last Updated' date in these Terms

NOTICE PERIOD:
• For material changes, we will provide at least 30 days notice
• For minor changes, notice may be immediate

ACCEPTANCE:
• Continued use of the Service after changes constitutes acceptance
• If you do not agree to changes, you must stop using the Service
• You can review Terms anytime in Settings > Terms & Conditions

PREVIOUS VERSIONS:
• Previous versions of Terms are available upon request
• Contact us for historical Terms documents

18. Governing Law & Dispute Resolution

GOVERNING LAW:
• These Terms are governed by applicable laws
• Interpretation follows legal standards without regard to conflict of law provisions

DISPUTE RESOLUTION:
• In the event of a dispute, you agree to first contact us to seek resolution
• We will attempt to resolve disputes amicably within 30 days

ARBITRATION:
• If informal resolution fails, disputes will be resolved through binding arbitration
• Arbitration is conducted individually (no class actions)
• Arbitration location and rules to be determined by applicable law

EXCEPTIONS:
• Either party may seek injunctive relief in court
• Intellectual property disputes may be litigated
• Small claims court is permitted

WAIVER OF CLASS ACTIONS:
• You waive the right to participate in class actions
• Disputes must be resolved individually

19. Miscellaneous

ENTIRE AGREEMENT:
• These Terms and our Privacy Policy constitute the entire agreement between you and RoomieExpense
• Supersedes any prior agreements or understandings

SEVERABILITY:
• If any provision is found unenforceable, remaining provisions continue in full effect
• Unenforceable provisions will be modified to reflect the parties' intention

WAIVER:
• Failure to enforce any right or provision does not constitute a waiver
• Waivers must be in writing to be effective

ASSIGNMENT:
• You may not assign these Terms without our consent
• We may assign these Terms in connection with a merger or sale

FORCE MAJEURE:
• We are not liable for delays or failures due to circumstances beyond our control
• Includes natural disasters, wars, pandemics, or government actions

LANGUAGE:
• These Terms are provided in multiple languages for convenience
• In case of conflict, the English version prevails

BY USING ROOMIEEXPENSE, YOU ACKNOWLEDGE THAT YOU HAVE READ, UNDERSTOOD, AND AGREE TO BE BOUND BY THESE TERMS & CONDITIONS.
